Key Responsibilities: Fleet Administration & Vehicle Tracking:Maintain accurate and up-to-date records of all company-owned, financed, and rental vehiclesTrack vehicle movements, locations, status, and utilisation at all timesEnsure proper filing and control of all documentation, including:Vehicle registrationsInsurance recordsService and maintenance historyContracts and agreementsPrepare and submit regular fleet reports covering utilisation, availability, and conditionEnsure all fleet records are audit-ready and fully compliantAsset Finance & Rental Support:Coordinate allocation of vehicles to clients, rentals, and internal operationsOversee rental processes, including bookings, dispatch, and returnsConduct and document detailed vehicle inspections before dispatch and upon returnIdentify, record, and manage damages, repairs, and compliance issuesAsset Sales & Disposal:Manage the sale of company-owned and financed assetsOversee valuation, marketing, and negotiation of asset salesCoordinate preparation of all sale documentation and contractsLiaise with finance and sales teams to ensure accurate tracking of transactions and proceedsRebuild & Upgrade Project Management:Plan and manage asset rebuild, refurbishment, and upgrade projectsCoordinate with workshops, suppliers, and internal teamsEnsure projects are completed on time, within budget, and to required quality standardsTrack and report on project costs, timelines, and return on investment (ROI)Assess and report on the impact of upgrades on asset valueMaintenance & Cost Management:Plan and oversee routine maintenance, inspections, and repairsMonitor and control fleet-related costs, including:Fuel usageService and repair costsInsurance premiumsLicensing and registration feesIdentify and implement cost-saving initiatives without compromising safety or qualityManage and evaluate service providers, workshops, and suppliersCompliance & Risk Management:Ensure full compliance with all legal, regulatory, and insurance requirementsManage renewals of licenses, registrations, and insurance policiesHandle insurance claims and incident reportingEnforce adherence to company fleet policies and rental agreementsIdentify and mitigate operational risksReporting & Analysis:Produce regular reports on:Fleet utilisationFinancial performanceAnalyse rental performance, asset sales, and cost trendsProvide management with actionable insights for asset lifecycle planningMon
